How to use

&frankly was founded on the beliefs that every individual deserves to be in a workplace that's defined by wellbeing and engagement. It's important to stay updated in real-time on how your team and your organization are feeling. Being able to react quickly to new conditions is a must for success. &frankly enables you to do this. Continuously working with engagement enables you, as a manager and an employee, to create change in small steps. A constant forward motion which involves all parts of the organization.

You can access your questions in &frankly in a couple of ways, either via email, phone app or through our website. 

To log in through the webpage, follow these steps:

  1. Visit https://www.simployer.com and click on the button "Log in" to select &frankly
  2. Enter your email address and click "next".
  3. If it is the first time you log in, our system will prompt you to create a password. To create a password you click on "Forgot your password?". Then you will get a verification email in your inbox requiring you to confirm it. Once verified, you can go to the login page again, simply enter the email and the new password.
  4. Enter your password and click "next". 

If you have questions to answer you'll find them under Start > Respond now.

Please note that if your email address has not been registered in our system by your organization or if you have not confirmed the password, you will see an error stating "Invalid username or password". If this happens when you try to log in for the first time, then it means your email address is not registered. Contact your closest manager or your account administrator and ask them to check if you have a user registered in &frankly.

You can access your questions in &frankly in a couple of ways, either via email, phone app or by logging in to our website. 

 

To log in through the app, follow these steps:

1. Go to AppStore or Google Play and search for "andfrankly" or "&frankly" to download the app. 

2. Open the app, enter your email address and click on "next". If you've been registered with your phone number instead of an email address, just enter your phone number (including the land code, eg +46).

3. If this is the first time you log in, the system will prompt you to create a password. Once you have created it, you will get an email from us with a verification link. Don't forget to confirm the password in the email before going back to the app again. 

4. Enter your password and click on "next".

If you have forgotten your password or want to create a new, go to andfrankly.com and click on "Sign in". Enter your email address or phone number and then click "Forgot your password?". 

Create a new password with more than 8 characters and a verification message will be sent to your email address/phone number. Click on the link to confirm your new password.

When attempting to log in too many times within a short time period, the account gets temporarily locked due to safety reasons. When this happen an error message will be displayed saying "You've retried too many times".

When this happen, you just need to wait 5 minutes without attempting to log in again, and the account will be unlocked after this time.

You are always anonymous when using &frankly and we believe anonymity is essential to get the frankest answers and most valuable insights. The anonymity is maintained through an anonymity and integrity framework, and you can read more details about this here

If you've never signed in before and want to know how that works, please read this article to learn more.

Depending on your situation, there are probably a few different ways to solve your issue. Please look at the options below and see if any of these matches your problem. If none of these helps, just send us an email at help@andfrankly.com and we'll help you! 

The system doesn't recognize my email address, what can I do?

If you are new to your workplace, it is possible that your account in &frankly hasn't been created just yet. Please contact your manager or one of the &frankly administrators in your organization and ask them to create an account for you. If you're uncertain who to contact in your organization, contact us and we'll help you find the right person! 

If you recently changed your name or email address and need to update your profile in &frankly, send an email to your account administrator or help@andfrankly.com and ask for help. Due to security and privacy reasons, email addresses or phone numbers can only be edited by administrators or the support team at &frankly. 

 

My email and password is correct but I receive an error message when signing in, what can I do?

First, see if you can solve the problem by refreshing the page and/or clearing cookies and cache on your browser. If you're trying to sign in on the mobile app, please delete the app from your phone and download the latest version. 

If that doesn't work, please reach out to us and we'll help you. We truly appreciate if you include as many details as possible, such as: 

  • Which email address or phone number are you using to sign in?
  • Which browser are you using when this happens? 
  • Have you been able to sign in before? 
  • Are you using WiFi or a mobile network? 
  • What does it look like? We love screenshots! 

These details usually help us detect and solve the issue faster! 

How to answer questions

Your answers are registered and submitted automatically when you leave the question by clicking the "done button" in &frankly. Easy, right?

People tend to answer more honestly when they do it spontaneously, without too many thoughts around implications and whether it’s the “right” answer.

You can leave a response to a question within 36 hours from the moment you opened the question. If you want to edit your response within 36 hours, click on the question again to clear your previous answer.  Note that your comments or answers to free text questions won't be cleared, the text will be kept but editable.

As a pulsed survey tool, we believe in the idea of asking a few questions regularly. Asking fewer questions, but more frequently makes it possible for you and your team to follow up and act on the results when the responses submitted to these questions are still relevant. 

When your employer sends questions via & frankly, they can decide for how long the questions can be accessed for answering. If you are unsure how long you have to respond in your organization, you can contact your account administrator and ask.


When you open a question, you have 36 hours to submit or edit your answer. When 36 hours have passed, the questions are locked for editing. If you need help to adjust something after 36 hours, please contact the &frankly support at help@andfrankly.com for further assistance. 

It is completely voluntary to answer questions in &frankly; the only purpose of the pulse is to gain insight on how employees feel and which areas can be improved. If you, however, would like to skip a question, click on the muted icon in the left bottom corner.

If you have not received the question email, you can always sign in to your personal account to answer the questions. If you have not logged in before, please read this guide for sign in through the web or this guide for sign in using the app

The reason that you have not received the questions may be one of the following:

  • The question email has ended up in spam
    Sometimes our emails end up in spam, so it's always worth double-checking there to start with.
  • Ensure you are a member of the group that received the questions. Sometimes when the users are first created, some administrators and managers forget to associate them with a group, hence no questions are received. Since you cannot add yourself to any group, please ask your closest manager to ensure that you are part of their group, if this was the case, you will see the questions within 5 minutes after they have added you.
  • Notifications are disabled under your account settings
    Notifications via email or the app are controlled by your personal account settings. 
    To solve this, you can either activate notifications again, or answer the questions by logging in via www.simployer.com / the mobile app and go to Account > My settings.
  • The question email has "bounced" and got stuck in the filter
    Sometimes the email can bounce depending on the security settings in your internal IT department, and therefore not be delivered. If you suspect that this has happened, send us an email at help@andfrankly.com and we will help you. 

If you are unable to find your questions for an ongoing survey in the &frankly-app, try the following: 

  1. Ensure that you are logged in to your own user account.
    If you have not signed in before, read this guide for instructions  on how to sign in through the mobile app.
  2. Make sure to have the latest version of the app installed. You can do this by re-visiting the app store (iOS devices) or Google Play (Android devices) and ensuring there are no pending updates for &frankly. 
  3. Ensure you are a member of the group that received the questions. Sometimes when the users are first created, some administrators and managers forget to associate them with a group, hence no questions are received. Since you cannot add yourself to any group, please ask your closest manager to ensure that you are part of their group, if this was the case, you will see the questions within 5 minutes after they have added you.
  4. If you received a questions email and forwarded to another colleague, it is possible they have already answered your questions on your behalf, thinking it was theirs. If this happens, please contact Support (help@andfrankly.com) and we will help you get them restored. Note that through the link on the questions emails, no one can see your previous results.
  5.  If none of the above steps solves the issue, send us an email to help@andfrankly.com 

In &frankly, you can use different templates for different kinds of questions. This is a guide that explains how to answer all the available templates. Please have a look at this before you start answering questions for the first time.

If you forget to answer your questions during the week, you’ll get an email on Friday at 12 o'clock as a kind reminder. This feature can be turned on or off under Account > My settings.

The organization you work for chooses which questions they want to use. &frankly cannot control which specific questions are sent out. If you experience the questions to be irrelevant or inappropriate, please address your HR department or your team leader.

The scheduling of questions in &frankly is based on groups. To be frank: If there’s a group, pretty much everything can be customized to its needs. In order to send out questions to a specific group, you’ll need the proper rights. An administrator must tag you as a “Manager” in &frankly and you’ll need to be the “Owner” of the group. The “Owner” rights will automatically kick in if you have created a group of your own, but can also be assigned by another owner of the group, or an administrator.

 

The most common frequency is to ask 4-5 questions every other week. However, scheduling and frequency depend on your organization’s needs and circumstances and can vary.

My settings

When an account is created and the employees are added as users, the default setting for each user is to receive an email when there are new questions open to answer in &frankly. By downloading the app, you'll be able to also get notifications on your mobile phone. 

As a user, you can adjust the notification settings accordingly to your own preferences. It is possible to only get notified via email, the phone app or both. Log in to &frankly and go to Account > My settings to see or change your settings. Read below if you would like to learn more about the different settings. 

 

Email notifications
The settings page for email notifications contains three sections - Question notifications, Question reminders and emails in general. 

Question notification settings
This setting allows you to determine how you would like to be notified when there are new questions to answer in &frankly. You can choose if you would like to get notified whenever a new question is available or once a week.

Questions can be activated on different times or days, since some of them are more suitable to answer at the beginning of the week and some of them at the end of the week. If you would like to be notified as soon as there are new questions to answer you should select the setting "I want notifications whenever questions are asked". If you'd rather answer all questions at once and only get notified once, you can select the setting  "I want notifications once a week". 

Would you like to be notified via email, your phone or slack? 
Select the channel(s) that you would like to get notifications in. It is possible to have just one, two or all three.

Question reminders settings
The reminder email and notification is sent on Fridays 12.00 to users that still have unanswered questions. When your user account is created, the pre-defined setting is to allow reminders. If you don't want reminders on Fridays you can simply deactivate this in your settings. However, keep in mind that answers can't be submitted when a pulse has closed. If you want to make sure that you don't miss any questions we recommend you to keep the setting active. 

 

Other email settings
The last section in your settings page concerns account info and results email. It is possible to get results email on Monday morning, both as a manager and a user. Although, this setting is dependent on general account settings that only administrators can access and also on the visibility settings selected during scheduling. Talk to your administrator if you're not getting results email but would like to do that. 

If you don't want to get any results emails, you can simply untick the box for this setting in your account.

If you aren't receiving notifications in the app, please check the following steps: 

  1. Log in to the &frankly app and go to Settings > Notifications. Make sure that the notifications are activated. If you have chosen to get notified once a week and not whenever questions are asked, there might be questions scheduled to open later in the week.
  2. Go to your phone settings and make sure that you allow notifications from &frankly. 
  3. Ask your manager or a colleague if there are questions open this week, in other words, make sure that you really should have gotten a notification.
  4. Ask your manager to check if your user has a group membership in &frankly

Notifications in &frankly

How can I change the app notifications?

Adding a location makes it possible to get questions on the most relevant occasions. For example, by setting your work location, we can push the question “How do you feel about coming to work?” when you’re actually arriving at work. Pretty cool, right?

If you prefer not to set a location (which we fully respect), you will still get the questions, but given a specific time instead. Questions set to "Coming in" will be sent 09.00 and questions set to "Leaving" will be sent 18.30.

Log in to the web or app and go to Settings > My settings > My location and add the location either by typing the address or by using the map. 
 
 
 
How the location-based service works: 

If an organization decides to have location-based alerts as a predefined setting for all their employees when implementing &frankly, each employee doesn't have to choose this setting themselves. However, each employee does have to accept that they enable &frankly to use their location.

If the user enables &frankly to use their location, we will not follow the user everywhere. &frankly uses location-based services to give the user an alert when “entering” the office or workspace. So when the location-based service recognizes that the user (the phone) is in a specific area, it will awaken the application (&frankly application), which then will send an alert to the user. We do not use location services otherwise.

There are three options.

Option 1) Download the &frankly app. By doing so, you can get notifications in your phone instead of an email.

Option 2) Login to &frankly on your device and go to Account > My settings. Select the kind of notifications you would like to get for new questions and new results. If you don't want any, simply opt-out from all of them.

Option 3) If you want to stop emails completely, in the next e-mail you receive (or find an old one, if you’ve already reached your maximum) scroll down to the very bottom and press “unsubscribe”.

 

You can always log in to your account and change your settings if you change your mind! 

Time for a vacation?

If you want to temporarily disable notifications, you can easily do that in your &frankly account. Do this by going to AccountMy Settings and fill in the period for your absence as seen below:
