It is simple to add or edit payment details regardless which tier you have, in this article I will describe step by step how you do if you are a teams customer. 

 

  1. Go to Settings > Subscription
  1. By clicking on the grey boxes that says Edit you can fill in email and payment information:

You can also see an overview of the billing history by scrolling down.

If you have Workplace or Enterprise pricing plan, in order to change billing details you need to contact your deal owner or our help center directly.

Step 1: Allow emails from andfrankly.com (whitelisting)

Make sure that emails from @andfrankly.com don’t get stuck in your spam inbox. Talk to your IT department and ask them to 'whitelist' or explicitly allow emails to be sent from andfrankly to your employees. This can be done by adding the andfrankly.com domain in the Safe Senders list, and allow emails to be received from the following IP-address: 167.89.91.15 (o1.sendgrid.andfrankly.com).

What happens if I do not whitelist &frankly? 
If the &frankly domain is not whitelisted as a sender in your organization, there is a risk that notifications/emails will not reach your employees. For instance, emails informing that there are new questions to answer, might end up in the spam inbox. It is therefore our recommendation to ensure we are whitelisted, before launching &frankly to your organization.  



Step 2: Set anonymity limit for your account

How many answers should be required to show results? You decide! Set the limit based on your requirements. Click here to find more instructions. 



Step 3: Default language settings

Which language is your official internal language? On a Teams subscription, you can decide if you want English or Swedish as the default language. 

Under Account > Company settings > Language, you need to choose two language settings: 

  1. Default language to use when users have not chosen a language yet, or when their language is not supported. This can be set to English or Swedish.
  2. Language used for questions. This setting allows you to decide if the users should be able to choose between Swedish and English themselves, or if the language for questions should be pre-set to either Swedish or English. 



Step 4: Check your account name and add your organization's logotype

Check your account name to make sure it is correct, and add a logo to make it easier for employees to understand where the questions are coming from. Click here to find more instructions.

On a Team subscription, you can add up to 100 users and create up to 10 groups. 

Why are groups needed? 
The purpose of adding groups is to receive group results that reflect your organization. With groups that mirror your teams, departments and/or units, you can get more insights and a better understanding of your results. 

Instructions: 

An important part to consider when launching &frankly to your organization, is to ensure your managers and employees understand the purpose and plan for your upcoming surveys. Below is some information collected for you to distribute to your managers and employees.  

Step 1: Engage your managers!
Share our recorded demos or trainings to the managers in your team or organization. The &frankly manager trainings provides your managers with tips and tricks on how to use &frankly, and how to work with the results. 

 

Step 2: Get all employees on board!
Plan well ahead for your internal communication about &frankly! The information you need to provide is why and how you will start using &frankly. The purpose is to ensure everyone feels comfortable and aligned with how you will work with the tool. Reach more employees by sharing the information into multiple channels, at various times – the likelihood of reaching your employees with your information will then be higher.

A welcome email can also be sent to the employees when you add them as users in &frankly. The welcome email contains information about &frankly, two test questions, and instructions on how to download the mobile application.

Step 1: Start off by defining your organization's purpose of using &frankly; what would you like to measure and why? Let this guide you when choosing or creating your first pulse! 

A pulse is a set of questions put together for a survey. You can either choose one of the &frankly pulses or create your own. Read more about questions and pulses here, or explore the pulse and question library in your account. 

If you want to get started with &frankly’s Engagement model, you can easily start one of our ready-to-use programs for engagement and/or change management. Our programs provide you with pulses that collect insights from your employees on various topics. When you activate a program, pulses are sent automatically and you will be notified when new insights are available. Click here to read more about programs and how to get started. 

Step 2: When you find a pulse or program you like, or when you’ve created a new pulse, it is time to activate it. Pulses are scheduled weekly and will always close on Sundays. 

When you have your results, it is time to follow up on the insights you’ve now gathered.

Introduction

This video gives you an introduction to the concept of &frankly and how the tool works. Share it with the managers and employees in your team or organization to introduce them to the system. 

 

Pulse – A pulse is a small survey! In &frankly a pulse is a set of questions, which can be sent to groups in &frankly.

Pulse library - In the pulse library, you can find all of the &frankly pulses and create your own pulses.

Question library – In the library, you can find all the &frankly standard questions. Use the different categories to filter questions on various topics. You can also find the company’s questions, which are those that are added to the company library (favorites). An administrator can add questions to the company library. 

Quick question – A quick question, is just what the name indicates, one question that can be sent out quickly! Quick questions are created under Questions > Quick question. These questions are created and activated one at a time, in the same view. Results for quick questions are presented in the same view as other questions (Results > Individual questions), click on the icon “Quick question”.

KPI – A Key Performance Indicator (KPI) is an aggregated score, which is generated from a group of questions put together. All &frankly pulses generate KPI:s automatically. When creating your own pulse, you can choose which questions you would like to add to the KPI. Click here to read more about KPIs. 

Group – A group in &frankly is a collection of users. Quick questions and pulses are scheduled to one or several groups. With groups that mirror your teams, departments and/or units, you can get more insights and a better understanding of your results. Groups are found in the menu under People > Groups.

Administrator – The "administrator" is one of three roles in &frankly. The administrator has access to the whole account and can, therefore, view results for all groups, schedule to all groups and manage settings for the account.

Manager – A "manager" is one of three roles in &frankly. A manager is usually the owner of one or several groups, which the manager can see and edit, view results for, and, create and schedule questions to. Administrators can regulate what the managers can access.

 

User – A "user" is one of three roles in &frankly. Users can answer questions and see results. What users can access in &frankly is regulated by the Administrator, and/or by the Manger that have scheduled questions.

Results integrity – Results integrity is about the settings around result visibility. Result settings can regulate how many answers that are needed to present the average, the spread, and comments. Administrators can access the settings in the menu under Account > Company settings. Read more here: Anonymity threshold
 

System language - System language is the language in the system and the menu bar. The language can be set to English, Swedish, Norwegian or Danish.

Preferred language – Preferred language regulates the language for questions and results. All &frankly standard questions have translations into several languages, by choosing a preferred language the user can decide the language that is preferred when viewing questions and results. On a Team subscription, you can choose between English and Swedish. 

Communicate the purpose of the pulse and the results

Why is the purpose of a pulse important?
If the purpose of a pulse is communicated openly and clearly, respondents are more likely to engage. And not just that: their responses may also be more honest.​ The purpose puts a question in the right light, hence, making it easier to answer.​ Plus, when discussing insights, actions can be tailored towards the purpose.

Adding purpose to a pulse
When creating your own pulse in &frankly, you can add your own purpose and description. Below the name of the pulse, there is a box for you to fill in a purpose or description for the questions. To the right of the name of the pulse, you find a dropdown menu of languages.

Write the description of the pulse while having "Language" in the menu to the right. This will be the default version of the pulse. If you need the description of the pulse in several languages, select a language of your preferences and insert the translation. 

Please note that you always have to have a default version of the pulse name and description. We recommend English.

Purpose of a pulse: Three examples  
Example 1: Tracking development on a higher level in the organization

  • This pulse aims at tracking the development of our engagement levels within the organization. The questions will be pulsed quarterly. The management team will communicate overall results. You are expected to address the results in your team.

Example 2: Learning more about a specific issue

  • These questions aim at giving a deeper insight as to why our stress levels are increasing. We will discuss the outcome during our next team meeting.

Example 3: Follow-up on an action plan

  • These questions are following-up on and reminding us of the actions we came up with in our team discussion week 36. We will discuss the outcome during our next team meeting.

 

How will the description be shown to the users? 
When users log in to the web or the app to answer questions, the purpose will be shown in the information button to the left of the question. If you have an important message that is essential for users to know before answering questions, don't forget to inform them about this button.

Last week we pulsed questions from the &frankly tool on the topic xxx. Xx% of you participated – great, thank you. For those of you who missed out on it this time, please try to participate when we send out pulses next time.

Your answers show we are still on high levels regarding xxx. It is great to see our hard work is paying off. However, we see a negative trend on xxx. We in the management team will dig deeper into this and create an action plan on going forward.
